Export your data

Get your contacts and leads out of Exabloom as a CSV, for a backup, a mail-merge or analysis in a spreadsheet. Grab a quick export on the spot, or save a template that pulls exactly the columns you want from every workspace.

The 60-second version

Need a spreadsheet of your people? There are two routes, and they are built for different jobs. Both give you a CSV.

Quick export

The Export button in the Contacts and Leads toolbars. Downloads the rows you are looking at (or the ones you ticked) with a fixed set of columns.

Export templates

Saved in the Admin Dashboard under Exports. Pick the pipelines and the columns once, then run it for any date range across all your workspaces.

Rule of thumb: one workspace, right now means a quick export. Several workspaces, or the same report every month means a template.

Quick export

The Contacts page and the Leads page each have an Export button in the toolbar. It is there for workspace admins only. The Leads page needs a pipeline open, and both pages disable the button when there is nothing to export. The steps below use Contacts; Leads works the same way.

Choose what goes in the file

Tick some rows first and the dialog asks what you want: only the selection (pre-picked, marked Recommended) or everything that matches the page. With nothing ticked it simply says how many contacts it will export, and applies your current search and filters.

Open the file

The file is called Contacts.csv (or Leads.csv). The columns are fixed: the system columns first, then one column per custom field. Tags are joined into a single cell. You cannot choose or rename columns here, and that is what templates are for.

Good to know
Large exports do not download. Once a Contacts export reaches 1,000 rows (5,000 for Leads), the dialog changes to Export in progress and tells you it is emailing you a link when it is ready.

Build an export template

A template is a saved answer to two questions: which pipelines and which columns. It does not store dates; you pick those each time you run it. Templates live in the Admin Dashboard, so they can pull leads from every workspace in your brand.

Name it

Add Export Template opens a full-screen dialog with four tabs. It covers the whole window, so the sidebar is gone until you close it. That is deliberate. Only the name is required.

Every workspace in your brand is listed. Tick the ones to include, then pick one pipeline for each. Picking a pipeline is what fills in the starting columns, so the next tab is empty until you do.

Shape the columns

The Columns tab is a small spreadsheet. Row 1 holds the column names, and underneath is a preview of real data, so you see the result as you edit. You start with Workspace, Pipeline, Stage, Name and the contact’s phone number. Drag a column to reorder it, use its menu to delete it, or click the pencil to rename it.

Tip
If a Lead field and a Contact field share a name (both have Created at), the file’s header adds a prefix so you can tell them apart: (Lead) Created at and (Contact) Created at.

The last tab is a read-only summary. Create stays greyed out until the template has a name and at least one pipeline.

Pick the dates

The window is titled Generate Export followed by the template’s name. Choose Last 30 Days, Last 90 Days or Custom for your own start and end. Filters are optional: add a condition group to narrow the leads further, for example to one stage.

Open the file

Small runs download straight away with a green “Export generated successfully” message. The file is named after the template with the date on the end, such as Monthly-leads-report_20260930.csv, and holds one row per lead.

Good to know
A run that finds 1,000 or more leads is built in the background instead. You will see “Your export is being prepared. We’ll email you at” your address, then Your Exabloom export is ready arrives with a download link that works for 24 hours. A run with no leads in range says “No leads found for export” and gives you no file.

Edit or delete a template

Edit reopens the same four tabs with the template filled in, titled “Update Export Template”. Deleting is permanent and asks you to type a word first, so you cannot do it by accident. Past downloads are not affected.

Tip
Exports pair well with imports. Export contacts, fix them in a spreadsheet, then re-import with Update contacts only to bulk-edit what you already store. See the import guide below.

Good to know & pitfalls

  • The two exports are shaped differently. A quick export is one row per contact (or per lead), with fixed columns, from the workspace you are in. A template export is always one row per lead, with the columns you chose, from as many workspaces as you ticked.
  • The date range is when the lead was created. Not when the contact was created and not when anyone last replied. Each workspace’s own time zone decides where a day starts and ends, and the dates in the file are written in that zone too.
  • A contact with two leads shows up twice in a template export. That is one row per lead. If you want one row per person, use a quick export from Contacts.
  • One pipeline per workspace. In a template you tick a workspace and pick one pipeline for it. To export two pipelines from the same workspace, make two templates.
  • Custom fields are mapped per workspace. A custom field belongs to one workspace, so a column such as “Preferred Class” collects each workspace’s own field. Untick a workspace on the Pipelines tab and the custom fields you mapped from it are dropped from the columns.
  • Big exports arrive by email. A template run that finds 1,000 or more leads, a Contacts export of 1,000 or more, or a Leads export of 5,000 or more, is not downloaded. It is built in the background and a download link is emailed to the address you log in with. The link expires after 24 hours.
  • Filters are remembered per template. Conditions you add in the Generate Export dialog are saved in your browser for that template, so the next run starts with them already set. They do not follow you to another browser.
  • Access is granted in Roles. The Exports tab needs export access, and creating, editing, deleting and running are four separate permissions. The quick Export button shows only to workspace admins.
  • It is personal data. An export is a file of names and phone numbers. Store it somewhere safe and delete it when you are done.
