Organise leads with views

The Leads page can hold thousands of rows. Views cut that down to the slice you care about in a single click — and they sit right at the top of the page, grouped into tidy rows. The idea worth getting straight first: a view isn’t a folder you file leads into. It’s a saved filter, and the groups come in three flavours — one you build, and two that build themselves.

What a view really is

A view is a saved filter dressed up as a clickable pill. Click it and the Leads table instantly shows only the leads that match — leave it and the view is still there, waiting, the next time you need it. You never move leads in or out by hand; membership is live, so a lead appears in a view the moment its data matches and drops out when it doesn’t.

Views live at the top of the Leads page, in a card laid out as rows. Each row is a group — a label on the left and that group’s view pills on the right. The Hide views toggle collapses the whole card when you want the table to breathe, and admins get a Manage button to edit the groups.

Views belong to a pipeline
The Leads page always shows one pipeline at a time (the dropdown next to the heading). Views are scoped to that pipeline — switch pipelines and you’ll see a different set of groups. The Stages group is the clearest example: it always mirrors the pipeline you’re looking at.
The building block

The three kinds of group

Every group is one of three kinds, chosen when it’s created. The kind decides whether you fill the group yourself or the system fills it for you:

Views you build by hand — a name plus filter conditions. You add, edit, reorder and delete them.

Custom groups are hand-built. Monthly and Stages groups generate their own pills and keep them current.
  • Custom — the workhorse. Each view is a name plus filter conditions you define (“High value”, “Stale”, “Unassigned”). You add, edit, reorder and delete these freely.
  • Monthly — pills for recent months, generated from each lead’s created date. You only pick how many months to show (3, 6 or 12); the months themselves are filled in for you.
  • Stages — one pill per stage in the current pipeline, generated straight from it. Add or rename a stage and the group follows automatically.

A pipeline can have many Custom groups, but only one Monthly group and one Stages group. Once you’ve added either, it shows as “(already added)” and is greyed out in the Add dialog.

Selecting & stacking views

Click a pill to apply its filter. Click the same pill again to switch it off and go back to the full list. Within a single group the choice is one at a time — picking a second pill in the same row replaces the first.

The power comes from selecting across groups. Each group can contribute one active view, and the selections stack — they combine to narrow the list to leads that match all of them at once.

The search box and your column sort apply on top of whatever views are active — searching inside a selected view narrows within it rather than escaping it. To get back to everything, click each highlighted pill to clear it.

Manage mode

Creating, editing, reordering and deleting views all happen in Manage mode, which is reserved for admins. Everyone on the team can see and select views; only admins see the Manage button. Click it and the card turns editable — the button becomes Done and a Cancel appears beside it.

Add Group
In Manage mode each group gets a drag handle, an editable name, and an × to remove it. Custom views show a gear (edit) and trash (delete); “+ New” adds a view; “Add Group” sits in the footer.
  • Reorder — drag the handle to reorder whole groups, or drag a Custom view’s handle to reorder pills within its row.
  • Rename a group — type directly into the group’s name field.
  • Add a group Add Group opens the Add View Group dialog, where you pick the kind and give it a name.
  • Finish Done validates and saves your layout; Cancel backs out of editing (but see the warning below — deletions are the exception).

Cancel does not undo deletions
This is the one place the “Done saves, Cancel discards” rule breaks. Deleting an already-saved view or group (the trash icon, or the × on a group) takes effect immediately — you’ll see a confirmation toast right away, and Cancel will not bring it back. Cancel only discards views or groups you’ve added in this session but haven’t saved yet. Treat a delete as final, and remember the whole pipeline shares these groups.
What “Done” checks before it saves
Saving fails with a message if anything is unfinished: every group needs a name, every Custom view needs a name and at least one configured condition, and every Custom group needs at least one view. Fix what it flags, then Done again.

Build a custom view

Inside a Custom group, hit New to add a view, or the gear on an existing pill to edit it. Either opens the view editor:

Give the view a name, then build its filter from conditions. Each condition is a field, an operator, and a value. “Create View” saves it into the group.
  • View Name — the label on the pill. Name it for the question it answers (“High value”, “No owner”), not a moment in time, since membership keeps updating.
  • Filter Conditions — pick a field, an operator, and a value. You can filter on any column the Leads table shows for this pipeline, including its custom fields and the lead’s stage. Use Add Condition to stack more.
  • Save Create View (or Save Changes when editing) drops the pill into the group. It isn’t written to the server until you click Done on the manage bar.
A view needs a name and a real condition
The editor won’t let you save an unnamed view or one with no configured condition. A pill that’s missing either shows an amber warning in Manage mode, and Done will refuse to save until it’s sorted.

Monthly & Stages auto-views

The two auto-groups work differently from Custom ones: you don’t build their pills, and you can’t edit or delete individual pills inside them. They regenerate themselves.

  • Monthly is driven by a single “Last N months” dropdown — 3, 6 or 12. The pills are always counted back from today, so the group rolls forward on its own as the calendar advances. Each pill filters on the lead’s created date for that whole month. Only the count is saved — the months themselves are always relative to now.
  • Stages generates one pill per stage in the current pipeline, in pipeline order. Reorder, rename, add or remove a stage in the pipeline and the group reflects it the next time you load the page — there’s nothing to maintain here.
Rename the group, not the pills
You can still rename the Monthly or Stages group (the row label) and drag it to reorder it among your other groups. It’s only the individual generated pills that are fixed.

Good to know & pitfalls

  • A view is a filter, not a folder. You never file leads into it — they match in or out automatically as their data changes.
  • Views are per-pipeline. Switch the pipeline dropdown and you’re looking at that pipeline’s own groups. Stages always mirror the current pipeline.
  • One pick per group; groups stack. Selecting a pill in a row replaces the previous one in that row, while picks across rows combine to narrow the list.
  • Managing is admin-only. Anyone can select views, but only admins get the Manage button to create, edit, reorder or delete them.
  • Deletes are instant. Removing a saved view or group in Manage mode takes effect immediately — Cancel won’t undo it, and the whole pipeline loses it.
  • Monthly and Stages run themselves. You choose the month count and you build the pipeline; the pills regenerate. You can’t edit or delete the individual pills, only the group around them.
  • Done validates. Every group needs a name, every Custom view needs a name and a real condition, and every Custom group needs at least one view — or the save is blocked.
