Customise the Create Contact & Create Lead forms

Decide exactly which fields your team fills in when they add a new contact or a new lead — and in what order. Trim the noise, surface what matters, and give each pipeline its own create-lead form. There’s a 30-second version below; everything after it is optional depth.
Before you begin
You need to be an organisation admin — the Customise button only shows for you. Your changes are shared: the Create-contact layout applies to the whole workspace, and each Create-lead layout applies to everyone using that pipeline.

You can’t break anything
Removing a field never deletes data — it only takes the input off the create form. Reset to default brings the original layout back any time.

Two forms, two scopes

There are two separate create forms, and the single most useful thing to understand is that they’re saved at different scopes. Get this right and nothing else surprises you.

Good to know
The Create-contact form is one layout for your whole organisation. The Create-lead form is per pipeline — your Sales pipeline and your Support pipeline can ask for completely different things.

Open Customise

These are the same forms you use to add a record — there’s no separate settings screen. Open the one you want to shape:

  • On the Leads page (left sidebar), click New lead at the top-right.
  • On the Contacts page, click New contact at the top-right.

In the dialog’s top-right, click Customise. The dialog switches into edit mode: a violet banner explains what you’re editing, every field grows a drag handle and a , and the footer swaps in Reset to default and Done.

Opening New lead from the Leads page starts you on the pipeline you’re currently viewing. You don’t have to leave, though — the Pipeline selector stays active in Customise mode, so you can switch it and shape another pipeline’s form on the spot.

Here’s the Create-lead form in Customise mode. The locked fields stay pinned at the top; below the Lead details heading sit the cards you can rearrange.

Each card shows the field’s name, a type badge (TEXT, SELECT, NUMBER…), a SYSTEM tag for built-in fields, and underneath, the group the field belongs to — so you can tell two similarly-named fields apart.

Locked vs yours to shape

Not every field can do the same things. A handful are locked because a record can’t exist without them; everything else is yours to arrange.

  • Locked Contact’s First name, Last name, Phone, Email, Tags and Lead’s Pipeline, Stage, Contact. Always shown, pinned to the top, never removable.
  • Optional built-ins — Contact’s social handles (Telegram, Facebook, Instagram) and Lead’s Title. Reorder or remove them freely.
  • Your custom fields — anything you’ve created in Settings. Reorder, remove, and add them back as you like.

A required field always returns when someone submits
Required fields always come back
You can drag a required custom field off the form, but the moment someone tries to create a record without it, it’s added back with a “…is required” prompt. To remove a required field for good, make it optional in Settings → custom fields first.

Defaults & new fields

Before you touch anything, the Create-lead form already has a sensible starting point: the locked fields, plus Title and any required lead custom fields. Optional custom fields start hidden until you add them.

Create a new custom field later in Settings and it folds in automatically: required ones appear on the form straight away, while optional ones wait in Add field until you want them. And Reset to default always returns you to exactly this arrangement.

Worked example

A tuition centre takes walk-ins at the front desk and wants the fastest possible Create-lead form for that pipeline. Start to finish:

  1. 1Open Create lead, pick your Walk-in Sales pipeline, then click Customise.
  2. 2The front desk doesn’t use it, so remove Title with its .
  3. 3Click Add field and pull in Budget and Preferred slot.
  4. 4Drag Service to the top so reps capture it first.
  5. 5Press Done. Only this pipeline’s Create-lead form changes — repeat for any other pipeline that needs its own layout.

If something looks off

The handful of things that trip people up — and the fix for each.

I don’t see the Customise button.
It only appears for organisation admins. Teammates still get the create form — and on the Create-lead dialog they can use Search to jump to a field — but they can’t reorder, remove, or add fields.
I changed the Create-lead form but another pipeline looks the same.
That’s expected — the Create-lead form is saved per pipeline. While in Customise mode, switch the Pipeline dropdown at the top and tailor each one. (The Create-contact form, by contrast, is one layout for the whole workspace.)
I removed a required field but it keeps coming back.
Required custom fields can’t truly be hidden. If someone tries to create a record while a required field is off the form, it’s added back automatically with a “…is required” prompt, so nothing gets saved half-empty. To drop it for good, make the field optional in Settings → custom fields.
A teammate can’t add a field from Search.
Only admins can add a removed field back. In the field finder, a removed field shows + Add to form for an admin and a greyed “Not on this form” for everyone else.
Can I remove First name, Pipeline, Stage or Contact?
No — those carry a and are always shown. They’re what makes a usable contact or lead in the first place, so they sit pinned at the top of the form.
Does removing a field delete its data?
No. Removing a field only takes the input off the create form, so it isn’t filled at creation time. The field itself, and anything captured through it elsewhere, is untouched — add it back any time.
